SHIPPING & DELIVERY POLICY

At Covington Material & Supply Co. (“Covington,” “we,” “our,” or “us”), our goal is to ensure that every material order — from local deliveries to international imports — arrives safely, accurately, and on time.
We work closely with suppliers, carriers, and construction teams to coordinate logistics that keep your project running smoothly from procurement to delivery.

1. Order Processing

Each order is custom-coordinated based on your project needs.
Covington does not stock surplus materials in our warehouses — all materials are sourced to order and staged for active projects.
This approach ensures accuracy, quality control, and cost efficiency for our clients.

Processing Timelines:

  • Standard Orders:Ship within 2–5 business days of payment confirmation.
  • Custom or Specialty Orders:May require additional lead time depending on supplier availability or production schedules.
  • International Orders:Ship upon completion of import and customs clearance processes (see lead times below).

Once your order is confirmed, our logistics team provides an estimated delivery schedule based on supplier readiness, carrier coordination, and your project timeline.

2. Shipping Methods

We offer flexible domestic and international shipping options to meet your timeline, budget, and delivery site requirements:

  • Ground Shipping:Standard for smaller or local orders within the U.S.
  • Freight Shipping:For palletized, heavy, or oversized materials.
  • Expedited Shipping:Available upon request for time-sensitive orders.
  • White-Glove or Site Delivery:Scheduled, coordinated deliveries aligned with your construction phases.

Shipping methods are determined by order volume, material type, destination, and required delivery window.

3. Delivery Coordination & Tracking

Each order is tracked per load and fully integrated with your construction project timeline for seamless coordination.

Covington works directly with your construction management team or designated project contact to:

  • Schedule deliveries according to build phases
  • Ensure staging areas are accessible
  • Confirm safe and accurate unloading

Tracking updates are provided by email and can also be viewed through your Covington account dashboard.

4. Domestic Shipping & Delivery
  • Coverage:We ship nationwide throughout the United States, including Alaska and Hawaii (rates may vary).
  • Standard Transit Time:Typically 3–7 business days after dispatch.
  • Freight Deliveries:Typically 7–14 business days, depending on distance and carrier scheduling.
  • Expedited Options:Available for select products upon request.
5. International Shipping

Covington proudly supports international material sourcing through our licensed customs brokerage services.

International Freight Options:

  • Air Freight:7–14 business days (depending on route, customs processing, and cargo availability).
    • Best for small to medium-sized shipments requiring fast delivery.
  • Sea Freight:30–60 business days (average transit time varies by port and shipping lane).
    • Best for bulk or high-volume orders with flexible timelines.

All international shipments include:

  • Documentation preparation (commercial invoice, packing list, bill of lading, import/export permits)
  • Customs clearance coordination
  • Duties and taxes (quoted separately)

Note: Covington does not stock international products domestically. Materials are imported per project, then held in temporary storage until scheduled delivery.

6. Storage & Staging

Covington does not warehouse or resell surplus materials.
All storage is project-specific, designed for staging and coordination purposes.

Our secure storage solutions allow you to:

  • Stage phased deliveries for multi-site or long-term projects
  • Store materials temporarily while awaiting inspection or installation
  • Minimize on-site congestion and handling

Storage duration and costs are determined based on project scope and delivery scheduling.

7. Receiving Deliveries

To ensure a smooth delivery experience:

  • Confirm thedelivery site is accessible to freight vehicles and properly staffed.
  • Inspect all shipments fordamage or missing items before signing delivery receipts.
  • Retain all packaging and documentation until materials are verified in good condition.

If your site requires scheduled delivery windows, safety compliance, or special access, please notify our logistics team at the time of order.

8. Lost, Damaged, or Delayed Shipments

If your shipment arrives damaged, incomplete, or is delayed in transit:

  • Notifyinfo@covingtonsupplyco.com or call 202-808-9383 within 48 hours of delivery.
  • Provide yourorder numberphotos (if applicable), and a description of the issue.
  • Our team will immediately initiate acarrier investigation and arrange a replacement or claim if applicable.

Covington is not responsible for damage resulting from improper on-site handling, lack of storage protection, or delays caused by third-party carriers, weather, or customs processing.

9. Split Shipments & Phased Delivery

Large or multi-phase projects may be fulfilled through split shipments to align with construction milestones.
Each load will be assigned a unique tracking number and scheduled according to your project’s progress.

10. Additional Delivery Services

For clients requiring advanced coordination, Covington offers:

  • Pre-Delivery Inspectionsfor high-value or fragile materials
  • Liftgate and Site-Specific Drop-Offsfor restricted access areas
  • Consolidated Shipping Plansto reduce costs across multiple vendors
  • Customs Bonded Storagefor international materials awaiting clearance
