The Covington Process

Your Blueprint for Smarter, Seamless Building Supply

Covington Material & Supply Co. delivers a structured, specification-driven procurement process designed to simplify material sourcing, reduce risk, and support on-time project delivery.

From project intake through post-delivery support, we manage materials, logistics, and coordination with precision, transparency, and accountability—aligned with approved drawings, specifications, and contract requirements.

How the Covington Process Works

Our process aligns materials with approved drawings, specifications, budgets, and schedules, while providing clear review points and documented outcomes at every stage.

Each phase includes:

  • Defined scope and deliverables
  • Review and approval checkpoints
  • Coordinated communication across teams

Step 1: Project Intake and Initial Review

After submission of plans or project details, our team conducts an initial review to understand scope, requirements, and procurement constraints.

Includes:

  • Review of architectural and construction documents
  • Discussion of project goals, budget parameters, and schedule
  • Identification of delivery sequencing and material priorities

Step 2: Plan Review and Material Takeoff

Our estimating team prepares a detailed material takeoff based on submitted drawings and specifications.

Quantities, system requirements, and scope alignment are verified prior to pricing.

Step 3: Material Pricing and Budget Alignment

Using current market data, we provide itemized pricing aligned with specified materials and quantities to support budget forecasting and procurement planning.

Step 4: Value Engineering (When Applicable)

Where appropriate, Covington may propose alternative materials or systems that meet or exceed performance requirements while optimizing cost, availability, or lead times.

All substitutions are reviewed and approved prior to procurement.

Step 5: Product Selection and Design Coordination

For applicable systems and finishes, we support design coordination through renderings, visual references, and sample review to assist with approvals and stakeholder alignment.

Step 6: Procurement and Licensed Customs Brokerage

Upon approval, Covington manages procurement, vendor coordination, and logistics.

As a licensed customs broker, we oversee international sourcing, import compliance, documentation, and freight coordination as required.

Step 7: Delivery Coordination and Status Updates

Our logistics team manages delivery scheduling, warehouse coordination, and jobsite drops.

Clients receive proactive updates throughout transit, staging, and delivery.

Step 8: Post-Delivery Support and Ongoing Coordination

Following delivery, we confirm order accuracy and support warranty documentation, reorders, or phased procurement as needed.

For active or multi-phase projects, ongoing coordination is available.
